HomeMy WebLinkAbout12/5/2001 - STAFF REPORTS (2) DATE: December 5, 2001 TO: City Council FROM: Jim Dunn, Palm Springs Convention Center SUBJECT: Purchase and Replacement of Convention Center Exhibit Hall Carpet RECOMMENDATION: That the City Council approve participation in a State of California cooperative purchase agreement with DuPont Flooring Systems, Fullerton, CA for the purchase and replacement of carpet in the Exhibit Hall of the Convention Center in an amount not to exceed $365,762. SUMMARY: The carpet in the Oasis Exhibit Hall was installed in 1991 and is completely worn out and in serious need of replacement. After reviewing available options it is recommended that the City approve the purchase of replacement carpet from DuPont Flooring Systems because of the durability of the proposed product in similar use situations. BACKGROUND: The carpet in the Oasis Exhibit Hall of the Convention Center was installed in 1991. After years of use and cleaning the carpet is in very poor condition and cleaning is no longer effective. Almost every group utilizing the Exhibit Hall over the past 12 months has noted the poor condition of the carpet, as have potential clients. The Oasis Exhibit Hall is used for a wide variety of event types from black tie galas to industrial trade shows. Because most clients use the Oasis Hall for meetings, general sessions and food functions, it is most desirable to have a carpeted hall so that we offer the appropriate aesthetics for these event types. Staff has reviewed new carpet options for durability, appearance, warranty and stain resistance and recommends the purchase of Lee's Flamestitch modular, along with areas of Lees First Step Modular to be used at key loading areas as a "walk off' carpet. Additionally, in some areas, the floor must be treated to reduce water penetration through the concrete slab from the underlying ground. This is required to maintain adhesion of the carpet to the concrete floor. The cost breakdown for material, labor and floor treatment/repairs is as follows: Lees Flamestitch 24oz. Modular Carpet: 7,545 Sq. Yds. @ 28.54 $215,334.30 Attic Stock (Replacement Tiles): 384 Sq. Yds. @ 28.54 $ 10,959.36 Lees First Step Modular Carpet: 160 Sq. Yds. @ 40.31 $ 6,449.60 Attic Stock (Replacement Tiles): 10 Sq. Yds. @ 40.31 $ 403.10 Installation Labor: 7,705 Sq. Yds. @ 3.42 $ 26,351.10 Border Seaming: 180 Linear Ft. @ 1.61 $ 289.80 Demo/Removal of Existing Carpet Tiles: 65,936 Sq. Ft. @ .13 $ 8,571.68 1*4 Vapor Stop - Floor Treatment: 26,400 Sq. Ft. @ 2.43 $ 64,152.00 Subtotal: $332,511.00 10% Contingency $ 33,251.00 Total Not to Exceed $365,762.00 The total cost for the floor treatment, material and installation will not exceed $365,762 and would be paid from funds continued from last fiscal year that were designated for such capital projects.
