HomeMy WebLinkAbout6/19/2002 - STAFF REPORTS (6) DATE: June 19, 2002 TO: City Council FROM: Executive Director- Airports and Director of Procurement & Contracting AWARD INFORMAL BID FOR RADIO EQUIPMENT RECOMMENDATION: It is recommended that the City Council award an informal bid to Motorola, Inc., in the amount of $40,830.61 for acquisition of 800 MHz radio equipment for security operations at the Palm Springs International Airport. SUMMARY: This action would acquire additional 800 MHz radio equipment to be utilized for security functions at the Airport. These portable and mobile radios will be compatible with the City's 800 MHz radio system. Purchase of this equipment is funded in part by a grant from the Federal Aviation Administration (FAA). BACKGROUND: In response to the September 11`h attacks and the additional security requirements as mandated by the Transportation Security Administration (TSA), the Airport has a need for additional 800 MHz radios, which are used by staff for all types of routine and emergency situations that occur at the Airport. The Airport was the first department within the City to acquire 800 MHz radio equipment, which was installed in the early 1990's. Much of the equipment from this initial purchase is nearing the end of it's useful life and replacement is required. In addition, reprogramming of existing equipment is necessary to improve the communication capability between the Airport and other City departments. An informal bid was prepared and sent to 3 vendors. Section 7.03.030 (3)(b) of the Municipal Code requires, so far as is practical, solicitation of no less than 6 vendors for informal bids between $25,000 and $100,000. Because only Motorola-brand radios will operate on the City's 800 MHz radio system and local programming and related support services are required, the field of vendors was limited to dealers providing Motorola equipment and services locally(three in number). Two bids were received as follows: Motorola, Inc. $40,820.61 ComSerCo $45,719.32 d Award Informal Bid for Radios June 19, 2002 Page 2 It is recommended that City Council award the informal bid to Motorola, Inc., the lowest responsive, responsible bidder.
