SUNRISE WAS', PALM SPRINGS, CA 92262 760-322-8369 FAX: 760-320-9834 Date: January 4, 2012 To: David Ready, City Manger From: Barbara Roberts, Director of Library Services/City Librarian RE: Receive and File - Request for funding of architectural design fees At the regular meeting of the Library Board of Trustees on December 8, 2011 a discussion was held regarding the capital project needs of the main Library. The Library Board is interested in securing the services of a library architect to produce design plans for the reallocation of space and infrastructure replacement in the main Library. The Board recognizes that the main Library was completed in 1975, well before the advent of computers in libraries. With the exception of a new roof in the summer of 2011, there has been no replacement or upgrades to any of the heating, cooling, lighting, plumbing, electrical, cabling, safety or other infrastructure. All systems are years past their replacement date. In addition, the current space allocations do not provide the best use of the Library's footprint in relation to current Library functions and do not provide any space for meeting rooms, computer use and instruction, conference rooms, automated materials handling systems, customer self-service options or quiet space. The Library Board passed a motion requesting that the Library Director submit a request to the City Council for complete funding for architectural services for this design work at the main Library. The Library Board would use the architectural plans as a tool in fund- raising for the future projects. The motion from the Library Board stated stated: 7.D. Discussion of RFQ process for architectural space planning in the main Library MOTION: (Zacovic/Chaban, 5-0) Authorize staff to request that the City Council approve funding the architectural design fees necessary for space planning and infrastructure replacement for the main Library. The Council's library subcommittee is scheduled to meet to discuss this issue on January 12, 2012. fl N N06 F_
