Ready, City Manager BY: Allen Smoot, Airport Construction Administrator SUMMARY This action would be to approve the purchase of seating and tables for the new Regional Jet Hold-room at the airport in an amount not to exceed $300,000. RECOMMENDATION: 1. Adopt Minute Order No. , awarding RFP 07-07 to G/M Business Interiors for the purchase, delivery and installation of new "Herman Miller Eames Tandem Sling" seating and tables at the airport Regional Jet Hold-room in an amount not- to-exceed $300,000. STAFF ANALYSIS: The Procurement & Contracting Division prepared RFP 07-07 for the formal solicitation of proposals from qualified furniture vendors to furnish, deliver, and install new seating and tables for the Regional Jet Hold-room building. The notice was sent to 18 potential vendors, advertised on the AAAE website, and posted to the City's website. Proposals were received from the following 8 vendors: Thompson (Kusch), OMK, BKM (Steelcase), IMAT, SNW (Zenky), KI (Gate One), G&M (Herman-Miller "Eames") and Arconas (Flyaway). An evaluation committee consisting of members from the City Council, Airport Commission, Gensler (architect), Airport staff, and the Airport Construction Administrator evaluated all 8 of the proposals received against the following criteria: background/qualifications, product design/quality/specification compliance, references, and price. I'f EatA NEO. e� City Council Staff Report (March 21, 2007) -- Page 2 (Seating and Tables for RJ Terminal Based on their initial evaluation, the committee narrowed the field of 8 down to 2 finalists and invited G&M (Herman-Miller "Eames") and Arconas ("Flyaway") to come to Palm Springs for an interview and present samples of their product line. The committee then conducted their final evaluation and is recommending award to G/M Business Interiors, the highest ranked offeror, in an amount not to exceed $300,000 for the purchase, delivery and installation of the new "Herman Miller Eames Tandem Sling" seating and tables in the Regional Jet Hold-room building. The final selection came down to the fact that one firm offered a 12 year warranty and the other a 5 year warranty. One firm offered service and parts from Riverside , California while the other would provide it from Canada. The selection committee opted for the longer warranty and shorter service distance. The selected seat costs approximately $780 each and as such the total bid amount for 400 seats and 30 tables was $338,239.85, exceeding the budget. The not-to-exceed amount $300,000 will be finalized with the vendor upon approval of the final seat and table count per the architect's approved floor plan layout. The final number of seats will be reduced to bring the total price within the not-to- exceed amount. The reason the selection committee believes the amount of seating can be reduced is that the facility will not reach full capacity for several years and when it does, additional seating can be purchased then. The final total cost will include all labor, equipment, materials and services necessary to furnish, deliver and install the furniture. AWARD RFP 07-07 TO G/M BUSINESS INTERIORS FOR THE PURCHASE, DELIVERY, AND INSTALLATION OF NEW "HERMAN MILLER EAMES TANDEM SLING" SEATING AND TABLES AT THE AIRPORT REGIONAL JET TERMINAL IN AN AMOUNT NOT-TO-EXCEED $300,000. I, James Thompson, City Clerk of the City of Palm Springs, hereby certify that this Minute Order awarding RFP 07-07 to G/M Business Interiors for the purchase, delivery, and installation of new "Herman Miller Eames Tandem Sling" seating and tables at the airport Regional Jet Terminal in an amount not-to-exceed $300,000, was adopted by the City Council of the City of Palm Springs, California, in a meeting thereof held on the 21st day of March 2007.
