SUBJECT: Gensler Change Order No.3 — Additional Structural Services — Airport
Hold-room

SUMMARY
This action would provide approval of a Change Order to the Gensler architectural
design contract to add structural design services for the Airport Hold-room project in the
amount of$12,000.
RECOMMENDATION:
Recommend that City Council adopt Minute Order No. approving Change Order
No. 3 to Agreement No. A4382 (Amendment No. 11) with Gensler adding structural
design services for the Regional Jet Hold-room project to the design contract for an
amount not to exceed $12,000, subject to approval of the Federal Aviation
Administration.
STAFF ANALYSIS:
Gensler is the architectural firm that designed the Regional Jet Hold-room and the
Security Check Point Expansion projects. The original contract included design as well
as construction administration services from the architect and all the design consultants.
Both projects were budget to run concurrent over a ten month period. The projects
were split apart for budget purposes and the first project, Security Check Point, ran well
beyond the original budgeted time. These delays and changes were beyond the control
of the design consultants and they quickly exhausted the budget that was allocated for
construction administration. Of particular concern has been the structural consultant
who has continued to provide services despite the fact that funding has run out. The
Hold-room project is in a critical period where the help of the structural designer is

of $12,000; see attached proposal letter. Staff recommends approval of the attached
Minute Order to approve the contract increase
FISCAL IMPACT:
The design work contemplated in the Change Order is eligible under AIP 38 for
reimbursement and is budgeted in account 415-6600-56063.

Dear Allen:
Gensler is requesting Extra Services on behalf of Brandow Johnston for structural engineering
items related to the hold Room D project(Phase Il of Amendment 11)at Pahn Springs
International Airport.The request is divided into the following categories:
1) Continued Construction Administration Services. This is to allow Brandow Johnston to
provide continuing services during the construction administration phase.Included in this
service will be 2 site visits to observe the progress of construction(16 hours)and responses to
current and future requests for information(39 hours)-
2)Signage foundation.This is for the design of a structural footing to support the freestanding
signage that will be located between the Checkpoint and Hold Room A.
3).Detaining wall.Brandow Johnston will provide the structural design of the retaining wall to
be located between the Check Point and the Hold Room-The wall will be designed to retain a
maximum of 4 1/2'of earth.
Fee: This service will be billed on an hourly basis using the established hourly rates for this
contract.
