HomeMy WebLinkAbout6/6/2001 - STAFF REPORTS (7) DATE: June 6, 2001 TO: City Council FROM: Interim Director of Aviation AIRPORT CARPET MAINTENANCE -AMENDMENT#1 RECOMMENDATION: That City Council approve amendment#1 to agreement#4244 with DuPont Flooring Systems for carpet maintenance services at the Airport for the period of August 1, 2001 through July 31, 2002. SUMMARY: DuPont Flooring Systems has provided regular contract carpet maintenance services in the Airport Main Terminal &Concourse fora period of one year. The work performed has met all Airport requirements, and the option to renew this contract for two (2) additional one (1) year terms is available. BACKGROUND: In Fiscal Year 2000 - 01, funds were budgeted and approved for regular contracted cleaning of Airport carpeting. On July 19, 2000, City Council approved a contract services agreement with DuPont Flooring Systems for this work. This decision was based on a lack of response to a solicitation for bids (IFB 00-44)which resulted in one bid received for the amount of$76,943. During the IFB process, staff did spend time corresponding with local firms, but no local firms elected to participate in the process Subsequently,trial testing of a lowcost, proprietary DuPont program was initiated.The results were very positive, and Council approval of the contract followed shortly thereafter. During the year since that time, the program has proven itself very effective in maintaining the appearance and condition of Airport carpeting. The total cost for this program for Fiscal Year 01/02 is $31,836, and funds are budgeted in Airport Terminal Operations account 415-6200-43200, Contractual Services. No General Fund monies will be used. There is no cost change associated with this amendment. The Airport Commission will consider this item at its June 6, 2001 meeting. Exhibit "D" Schedule of Performance, is amended as follows: Term of Contract: The term of this agreement shall be one (1) year, commencing on August 1, 2001 and running through July 31, 2002. At the sole discretion of the City, this agreement may be extended for one (1) additional 1-yr period or any portion thereof. Both parties agree that there is to be no service price increase for the term of this amendment. Maintain Red in North/South Holdrooms and Red in Commuter Hold area Schedule of work: Services shall be performed Sunday night/Monday morning through Thursday night/Friday morning, between the hours of 10:00 P.M. and 6:30 A.M., except as modified by the City Representative. Saturday and Sunday hours must be approved in advanced. Due to the on-going nature of Airport operations,the Contractor shall coordinate all work scheduling with the City Representative in advance. Every effort shall be made by the Contractor to perform services in terminal zones at such times as will avoid any inconvenience to Airport customers, staff and operations. Services shall not be scheduled on normal City employee holidays.
