Ready, City Manager BY: Assistant City Manager —Administrative Services SUMMARY The City has received a request from Reaction Marketing and Promotion Incorporated to sponsor the 3r6 Annual Taste of Palm Springs which is scheduled for March 7, 2007 at the Palm Springs Convention Center. RECOMMENDATION: 1. Receive and file request for event sponsorship. Direct staff as appropriate. STAFF ANALYSIS: The 3rd Annual Taste of Palm Springs is scheduled for March 7, 2007 at the Palm Springs Convention Center. This event, which is being produced by Reaction Marketing and Promotion Incorporated, has received corporate support from Time Warner Cable, Jacob's Creek Winery, and the Food Network. According to the promoter, last year's event, which featured 40 different restaurants each providing a sampling of their signature dishes, drew approximately 800 participants. This year the promoter is expecting to draw over 1,000 people and 50 to 60 local restaurants and eateries. The cost of the event is $40.00 per person with a percentage of all proceeds going to the AIDS Assistance Program. Last year the promoter donated $10,000 to the AIDS Assistance Program. The promoter is requesting a $10,000 corporate sponsorship from the City_ As a corporate sponsor, the City will be prominently featured in all print and media materials advertising the event. This includes a full -page ad in the official program; inclusion of the City's logo on all print and television advertising; an individual table situated in the main lobby of the Convention Center that can be used to promote the City; and event .� • `d ITEMNO. �• . Box 2743 Palm Springs, Ca. 92263-2743 Mr. Mills: As per the suggestion of Troy Butzlaff in the City Manager's office, with whom I've had preliminary discussions, I would like to take this opportunity to familiarize you with one of the most unique and exciting/public functions to have been staged in our city over the last two years_ Mr. Butzlaff has graciously arranged to have the topic of our event on the agenda for the upcoming October 19 City Council meeting. Aside from the request for city corporate sponsorship that is partly the focus of this letter, the intention is also to provide you and the council members with background on our event and hopefully the intrinsic value of your potential involvement. The following outlines an official request from REACTION MARKETING & PROMOTIONS, INC_ to enlist a municipal sponsorship from the CITY OF PALM SPRINGS for the upcoming 3`d annual TASTE OF SPRINGS: EVENT DETAILS The 3`6 annual TASTE OF PALM SPRINGS is a glittering evening of food and entertainment showcasing the desert's eclectic array of local restaurants and eateries providing samplings off their menus'. Participating restaurant's only criteria is that they be located in the Greater Coachella Valley region and that their offerings are freshly prepared for that evening's festivities. Similar to other "Taste" events throughout the continental United States, it remains the ONLY event of this nature in the desert region. The initial TASTE events from 2005 and 2006 exceeded expectations. The first year garnered the participation of 35 restaurants and nearly 500 attendees and grew to 40 restaurants and nearly 800 in attendance for the second year. Full Page ad in official TASTE OF PALM SPRINGS giveaway dining guide 1,000 — 1,200 produced and handed out to event attendees. Inclusion of visual logo and written copy mention as corporate sponsor in all electronic media outlets including spots on TIME WARNER CABLE, CBS-2, CBS EYE ON THE DESERT, KMIR-6 and/or KESQ-3. • Written copy inclusion on all radio spot advertising disseminated in mass marketing coverage through R & R Broadcasting (MI/X 100.5 and KDES). TASTE OF PALM SPRINGS Sponsorship Proposal October 2, 2006 Page 3 • Logo prominently displayed on all print ads to circulate 6-8 weeks prior to event in local publications including THE DESERT SUN, THE 13OTTOM LINE, TALK MAGAZINE, DESERT DAILY GUIDE, TNE DESERT ENTERTAINER and DESERT POST WEEKLY. Individual table situated in the main lobby of the Palm Springs Convention Center outside Primrose Ballroom providing visual exposure of event corporate sponsors. • Logo/signage of CITY OF PALM SPRINGS inside event ballroom as visual re - enforcement of corporate sponsorship. 25 complimentary tickets to the event (Value: $1,000 cr $40.00/per ticket) SPONSORSHIP REQUEST: 510,000 ONE OF A KIND EVENT— BENEFITING PALM SPRINGS COMMUNITY -AT -LARGE AND LOCAL BUSINESSES! Additionally, benefits to the CITY OF PALM SPRINGS as a return on its investment (ROI) though not statistically tangible in the usual forms of tax revenue or room tax occupancy, non the less provide indisputable evidence of significant, multi -faceted advantages in exchange for its support: Sponsorship and your investment dol*s is a clear demonstration to both the community -at -large and most significantly to participating restaurant owners that their municipal government takes a PROACTIVE choice in promoting their business. Favorable alignment for the CITY from its' association with this community -based undertaking that provides dual service as both a first-class cultural event AND a charitable fundraiser for one of the city's most respected, humanitarian organizations (Aids Assistance Program). Investment from the City notably demonstrates it's financial commitment and support for an already well -regarded, popular annual civic event whose increasing momentum is noteworthy. TASTE OF PALM SPRINGS transcends the entire local demographic spectrum of those who chose to dine away from home but within the margins of our Valley. Being organized, patronized and partially funded from within the ranks of the local economy and it's own business sector provides a key, unassailable gesture of involvement and outreach from our city government. REACTION MARKETING & PROMOTION, INC. post -event exit surveys clearly demonstrate that this event has found its' most ardent support with 75% of the attendance coming from Coachella Valley residents. Most significantly, the TASTE OF PALM SPRINGS is designed to re -enforce the goal we all seem to share; that being, any event or activity that highlights favorable exposure while promoting locally -based consumerism back to our own. This is both an astute and prudent gesture on the part of those who manage the City's business affairs. The President of my company, DAVID MORGAN and/or myself would welcome the opportunity to meet with you and/or the City Council to present our request in person. Our intention is to be in attendance at the next scheduled Council meeting during which we will gladly avail ourselves to any additional inquiries and requests for clarification on our event. Enlisting the CITY OF PALM SPRINGS with the TASTE OF PALM SPRINGS as early as possible would only serve to enhance the advance marketing strategies and materials along with undoubtedly serving to attract additional patronage and business participation.
