SUBJECT: APPROVE PURCHASE OF MICROSOFT OFFICE 2003 SOFTWARE
LICENSES

SUMMARY
City staff uses Microsoft Office 2003 on a daily basis for word processing, spreadsheet
and database creation and manipulation. In order to install this software on new
computers and to support existing computers when they are upgraded, the Information
Services Division needs to purchase 95 additional Microsoft Office 2003 licenses.
RECOMMENDATION:
1. Adopt Minute Order No. approving the purchase of 95 additional
Microsoft Office 2003 software licenses in the amount of $32,244.19 from CDW
Government, Incorporated under the State of California CMAS contract.
STAFF ANALYSIS:
The City uses Microsoft Office 2003 as its primary ward processing, spreadsheet and
database application. The City has used all of its available Microsoft Office 2003
program licenses. To avoid copyright infringement, the City needs to purchase some
additional licenses so that the software can be installed on new computers and/or
existing computers when they are upgraded.
These licenses can be purchased directly through the software manufacturer or through
a number of authorized resellers. The Information Technology Division has obtained
pricing for these licenses from CDW which has been awarded a master purchasing
contract from the State of California. The Procurement and Contracting Manager,
pursuant to the requirements of Section 7.09,010 of the Municipal Code, finds that a
cooperative purchase utilizing the State of California Multiple Award Schedule (CMAS)
contract SLP-05-07-0025D is adequate to protect the public interest, and that the total

cost of the Microsoft licenses is likely to be less than could be obtained through an
independent City competitive process.
FISCAL IMPACT: Finance Director Review:

Funds for this purchase were budgeted in the current FY 06/07 budget, split between
the following two accounts: 261-1395-54063 and 261-1395-54046.

I, James Thompson, City Clerk of the City of Palm Springs, hereby certify that this
Minute Order approving the purchase of 95 additional Microsoft Office 2003 software
licenses in the amount of $32,244.19 from CDW Government, Incorporated under the
State of California CMAS contract, was adopted by the City Council of the City of Palm
Springs, California, in a meeting thereof held on the eth day of September, 2006.
