HomeMy WebLinkAbout1/17/2001 - STAFF REPORTS (3) DATE: January 17, 2001 TO: City Council FROM: Director, Department of Facilities PARKS RESTROOM MAINTENANCE CONTRACT RECOMMENDATION: That the City Council approve Amendment No. 1 to Agreement No. 4226 for Parks Restroom Maintenance Services with Desert Janitor Company,which will amend the contract to include the annual cost of afternoon trash removal in the downtown area on Fridays, Saturdays, and Sundays. SUMMARY: Periodically, the need arises to amend service contracts to incorporate services/tasks not addressed in the original contract service agreement as work demands change.At the January 3 City Council meeting, City Council approved a mid-year budget adjustment that allocated funds for additional afternoon and early evening trash removals in the downtown area on Fridays, Saturdays, and Sundays. The Desert Janitor Company Contract Service Agreement will be amended to include the additional work at an annual cost increase of$13,776. BACKGROUND: On May 17, 2000, City Council approved Minute Order 6621, awarding Bid 00- 08 for City parks restroom maintenance throughout the City to Desert Janitor Company of Palm Springs at unit prices, on file in the Office of the City Clerk, for a total sum of all unit prices at an annual amount of$41,686.85, Currently, City staff handle the trash removal in the downtown area seven days a week, but their day ends at 12:00 p.m. on weekends. With the influx of tourists and businesses in the downtown area, a need has arisen for additional staffing for trash removal for late afternoons into the evening hours on Fridays, Saturdays, and Sundays. Staff is requesting that City Council amend the agreement with Desert Janitor Company by extending the unit prices for a similar service that was recently bid and awarded by City Council and leverages the advantageous rate structure realized from the prior competitive bidding process. ,6COTT MIKESELL, Director Department of Facilities APPROVE - �� REVIEWED BY DEPT. Minute Order AMENDMENT NO. 1 TO AGREEMENT NO. 4226 FOR PARKS RESTROOM MAINTENANCE SERVICES THIS FIRST AMENDMENT TO THE CONTRACT SERVICES AGREEMENT (herein "First Amendment"), made and entered into on the day of January, 2001, by the City of Palm Springs (herein "City'), a municipal corporation, and Desert Janitor Company, Palm Springs, CA (herein"Contractor"), amends that certain Contract Services Agreement dated May 17,2000(herein "Agreement") by and between the same parties. 1. Section 2.1, Contract Sum. The Contract Sum is increased from $41,686.85 per year to $55,462.85 per year. 2. Exhibit A, "Scope of Services," shall be amended to add: 'C. The following task shall be completed every Friday, Saturday and Sunday during the hours of 4'00 p.m. and 8:00 p.m.: 1. Provide transportation,materials,and labor(consisting of a minimum two-man crew) to empty City trash cans along Palm Canyon Drive between Alejo Road and Ramon Road and certain portions along Indian Canyon Drive and Belardo Road." I HEREBY CERTIFYthat this Minute Order, approving Amendment No. 1 to Agreement No. 4226 for Parks Restroom Maintenance Services with Desert Janitor Company, which will amend the contract to include the annual cost of afternoon trash removal in the downtown area on Fridays, Saturdays, and Sundays for a total annual increase of $13,776, was adopted by the City Council of the City of Palm Springs, California, in a meeting thereof held on the 17" day of January, 2001.
