HomeMy WebLinkAbout4/5/2000 - STAFF REPORTS (6) DATE: April 5, 2000 TO: City Council FROM: Director of Finance &Treasurer BUDGET ADJUSTMENTS FOR RECORDS MANAGEMENT SYSTEM RECOMMENDATION: It is recommended that the City Council approve the consolidation of funding for the Records Management System and related interfund transfers. BACKGROUND: On March 1,2000,the City Council approved acquisition of a records management system to establish a city-wide approach to the elimination of paper files and for better document retrieval. Contributions were committed from several departments, including City Clerk, Human Resources, Risk Management, Recycling,and Airport. These departments are in different Funds. In order to consolidate the monies into one Capital Projects Fund account, Council approval is necessary. The attached resolution, amending the budget, transfers a total of$151,879 from the various source funds to the Capital Projects Fund account 261-1395-54022, Document Imaging. That account is already established with the $45,000 contribution from the Agua Caliente Tribe. Because of FAA requirements, a $15,000 contribution from the Airport Fund will remain budgeted separately. The total cost of this phase of the project is $211,879, as reported in the March 1, 2000 Council report. The recommended action is essentially a consolidation of funds to simplify the accounting procedures. No additional funding is being requested. Resolution RESOLUTION NO. 19764 OF THE CITY COUNCIL OF THE CITY OF PALM SPRINGS, CALIFORNIA, AMENDING THE BUDGET FOR THE 1999-00 FISCAL YEAR. WHEREAS Resolution 19541 approving the budget for the fiscal year 1999-00 was adopted on June 16, 1999; and WHEREAS the City Manager has recommended, and the City Council desires to approve, certain amendments to said budget; NOW THEREFORE BE IT RESOLVED thatthe Directorof Finance is authorized to record inter-fund cash transfers as required in accordance with this Resolution, and that Resolution 19541, adopting the budget for the 1999-00 fiscal year is hereby amended as follows: SECTION 1. ADDITIONS FUND Activity Account Amount No. 261 1395 54022 $151,879 Title: Capital Projects City Facilities Document Imaging Purpose: To consolidate funds for the City-wide Records Management System approved on 311100. SECTION 2. SOURCE The amount provided from the Recycling Fund will be booked as a direct transfer to the Capital Projects Fund. The other accounts will be disappropriated and the amounts transferred to the CP Fund.
