HomeMy WebLinkAbout10/20/1999 - STAFF REPORTS (11) DATE: October 20, 1999 TO: City Council FROM: Assistant City Manager-Operations AIRPORT TERMINAL GRAND OPENING EVENTS EXPENDITURES RECOMMENDATION: It is recommended that City Council approve and/or ratify purchases for a variety of Airport Terminal Grand Opening expenditures. BACKGROUND: In 1989, the City and Airport took the initial planning steps, resulting in the Phase H-A Terminal Expansion Project which will hold its grand openingNovember4, 1999,some ten years later. This project has immense importance for the tourism economy as the new millennium begins. In keeping with the importance of this addition to our economic base, a week-long series of events has been and is being planned. Wednesday-November 3, 1999 Airport Employee Orientation&Barbeque Wednesday-November 3, 1999 Media Afternoon Thursday-November 4, 1999 Dedication Celebration(invitation only) Friday-November 5, 1999 Travel Industry Reception Saturday-November 6, 1999 Public Open House Monday-November 8, 1999 Airline Move in/Orientation Thursday-November 9, 1999 Operations Begin This year's Airport budget and the Bond Issuance anticipated such a series of events and the costs related. Funds have been set aside for expenditures such as invitations, programs, catering, equipment rentals, musicians, decorations, refreshments, pyrotechnics, buttons, photography,uniforms, advertising and so on. A Resolution is attached for City Council consideration which would approve and/or ratify purchase orders for the needs of the celebration. WHEREAS after ten years of work, beginning on November 3, 1999, the Airport will hold a series of celebrations to commemorate the opening of its new second level boarding facility;and WHEREAS in keeping with the importance of this project to the local tourism economy,funds have been budgeted in the Airport fund to provide for the opening celebrations;and WHEREAS the Procurement Manager received price quotes on all of the services requiring multiple quotations(note that catering is provided by the Airport concessionaire by contract)to arrive at the least expensive well-qualified provider of services, NOW THEREFORE BE IT RESOLVED that the City Council hereby approves and/or ratifies the following purchases related to the Airport Terminal Grand Opening celebrations: °m Item Not to Exceed Co 1. They seem to all know each other and utilize the same groups of subcontractors and coparticipantss. We received one quote in addition to the quote we already had.That quote Is over$14,000 higher than the quote AI negotiated. The two other firms discussed the project with me on the phone, but both have let the response deadline go by without submitting. I sent them a project recap and quote form via Fax. From a procurement point of view, I have completed what Is possible within the required timeline and recommend the vendor and copartioipants listed on the staff report for award.
